Job Summary: We are seeking a detail-oriented and proactive Listing Coordinator to join our dynamic real estate team. The ideal candidate will play a crucial role in managing property listings and supporting our agents to ensure a smooth and efficient process from start to finish. This position requires excellent organizational skills, strong communication abilities, and a passion for real estate marketing.

Key Responsibilities:

1. Listing Preparation:

  • Create and Organize Listing Folders:
  • Compile client information (names, phone numbers, email addresses).
  • Gather tax rolls, previous MLS listings, building sketches, plat maps, and CMA reports.

2. Listing Paperwork:

  • Prepare and send all necessary listing documentation via DotLoop
  • Ensure all documents are up-to-date and compliant with local regulations.
  • Track paperwork for completion and signatures.
  • Document any changes (price adjustments, expiration dates, etc.) and prepare revised documents as needed.

3. Photo Coordination:

  • Determining the required types of media (e.g., still photos, video, 3D tours, drone footage).
  • Schedule photo appointments and meet photographer at properties.
  • Take room measurements and notes about property at photo appointments.

4. MLS Input and Management:

  • Input listings into the MLS, ensuring all associated documents are included and accurate.
  • Craft engaging property descriptions and highlights for marketing.

5. Marketing Materials and Coordination:

  • Create property flyers using provided templates, pulling data directly from the MLS.
  • Develop comprehensive marketing booklets, high-end marketing materials and social media posts.
  • Coordinate and design E-blasts for each listing, including price reductions and open house notifications.
  • Organize lockbox delivery, ensuring accurate registry and key management.
  • Coordinate sign delivery, including directional signs, verifying locations and quantities needed.

6. Client Communication and Feedback:

  • Manage calls and texts for scheduling showings using the Showing Time app.
  • Collect and relay feedback from agents post-showing to clients, maintaining a feedback log.

7. Open House Coordination:

  • Organize weekly open houses, implementing marketing strategies including MLS input, social media promotion, and print advertising.
  • Ensure all materials, including signs and balloons, are prepared in advance and returned afterward.

8. Collaboration and Reporting:

  • Work closely with the social media coordinator and office manager to enhance advertising efforts and ensure accurate online presence.
  • Verify the accuracy of listing information across various platforms and provide clients with regular online statistics reports.

9. Additional Support:

  • Provide occasional marketing assistance to other agents, including creating flyers, assisting with MLS input, and crafting social media posts as needed.

Qualifications:

  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Proficient in real estate marketing practices and tools.
  • Familiarity with MLS systems and real estate documentation.
  • Ability to work independently and collaboratively in a fast-paced environment.

Working Conditions:

  • Full-time position, Monday through Friday with occasional overtime as needed.
  • Office environment with standard business hours; some flexibility may be required.
